For Teachers: The Learner Portfolio That Survives an Assessor's Visit

A portfolio is not a folder of everything; it is selected evidence, labelled and dated. What belongs, what does not, and the termly routine that keeps it painless.

For Teachers: The Learner Portfolio That Survives an Assessor's Visit

Every CBC teacher owns two jobs the old system never taught: assessing competencies, and proving it. The learner portfolio is the proof, and the difference between a portfolio that survives an assessor's visit and one that collapses under the first question is not effort: it is selection, labelling and rhythm.

What belongs, and what does not

Belongs in the portfolioDoes not belong
Dated samples showing progress across the term, early against lateEvery worksheet the learner ever touched
Assessed tasks with the rubric level and comment attachedUnmarked work with no evidence it was ever judged
Photographs of practical and project work, captioned and datedLoose photographs nobody can place or date
The learner's own reflection on selected piecesWork by anyone other than the learner
A contents page the evidence actually followsA decorative cover hiding chaos

The selection rule that keeps portfolios honest: each strand gets its best early piece and its best late piece, so growth is visible on facing pages. An assessor who can see September beside November needs no speech from the teacher; the evidence argues by itself.

The labelling that answers questions before they are asked

Every piece carries four lines: the date, the strand and sub-strand, the task in one sentence, and the level awarded with a one-line reason. That last line is where most portfolios fail, and it is exactly the discipline covered in our rubrics guide: a level without a reason is an opinion, and assessors are sent to find opinions. The report-card language the levels feed is unpacked in the BE, AE, ME, EE guide, and the exam-side equivalent in setting an exam that measures strands.

The termly rhythm that avoids weekend heroics

Portfolios die in week 12 panic. The working rhythm is fortnightly and small: one selection session per fortnight, ten minutes per class, learners filing their own chosen piece with its four-line label while the teacher spot-checks five folders. By term's end the portfolio built itself, and the assessor's visit becomes a walk through evidence instead of an ambush.

Ready-made rubrics, trackers and assessed-task templates for every learning area ship in the Grade 9 All Subjects Bundle, and the same portfolio logic carries down the grades. The teacher who files fortnightly never meets the weekend that breaks the teacher who files in week 12.
