End of term papers are only worth setting if the results reach learners and parents in a form they can act on. Here is how to do that before schools close on 23 October.

Schools close on Friday 23 October 2026. Between now and then most teachers will set, mark and record a full round of end of Term 3 papers, write report comments, and in candidate classes, also prepare learners for KPSEA and KJSEA, which start on 26 October.

That is a lot of work to fit into two weeks. The danger is that the papers get marked, the scores go into the mark book, and nothing else happens. The learner never finds out what went wrong, and the parent reads a comment that says "Can do better".

This guide is about getting real value out of those papers without adding hours you do not have.

Mark for information, not just for a score

Before you mark the first script, decide what you want to learn from the pile. Usually it is two things: which questions the class as a whole got wrong, and which individual learners need help with something specific.

A few habits make that possible without extra time.

  • Mark question by question, not script by script. Mark question 1 on every script, then question 2. You apply the marking scheme more consistently and you notice patterns immediately.
  • Keep a tally sheet beside you. For each question, a tick in one column for full marks and in another for zero. It takes seconds and gives you your item analysis for free.
  • Use a short code for common errors. "U" for units missing, "W" for no working shown, "Q" for did not answer the question asked. Explain the codes to the class once.
  • Write one comment per script, not ten. The single most useful thing that learner could fix next.

A quick item analysis

An item analysis sounds technical. In practice it is a single table that tells you which questions went well and which did not. Here is an example from a Grade 8 Mathematics paper for a class of 40.

The last row matters. When most of a class scores zero on one question, the problem is sometimes the question: unclear wording, a printing fault, or a topic that was never actually taught. Look at it honestly before you record it.

Give the paper back properly

Returning scripts is the lesson where most of the learning from an exam happens, and it is often the lesson that gets squeezed out. Even thirty minutes helps.

  • Go through the two or three questions the class found hardest, not the whole paper.
  • Ask learners to correct their own errors in a different colour, on the script.
  • Have each learner write one sentence at the top: "Next time I will..." It makes the feedback theirs.

Learners who can check their own work make fewer careless errors under pressure. That matters most in candidate classes the week before KPSEA and KJSEA.

Report comments that say something

Parents read report comments carefully, often several times. A comment that says "Good" or "Work harder" gives them nothing to act on over a long holiday. A useful comment has three parts.

  • One specific strength. "Reads maps accurately and uses the key well."
  • One specific area to work on. "Loses marks by not showing working in multi-step questions."
  • One thing to do at home. "Ten minutes of mixed questions with working shown, three times a week."

Compare "Fair performance, can improve" with "Strong in number work. Struggles with word problems because she does not identify what is asked. Over the holiday, ask her to underline the question before answering." The second takes fifteen seconds longer to write and is worth a great deal more to the family reading it.

Your item analysis feeds straight into this. If question 7 was weak across the class, the comment for each learner who struggled with it can name the topic.

Keep the tone honest but kind. A parent who reads that their child "lacks seriousness" learns nothing they can use and often takes it out on the child. A parent who reads that their child "rushes the last section and leaves questions blank" knows exactly what to watch for at home. The same is true for learners who did well: name what they did well, so they know to keep doing it next year.

Plan the time before 23 October

A rough order that fits most schools:

  • Exam week: mark question by question as scripts come in, keeping the tally.
  • The following days: item analysis, return scripts, correction lesson.
  • Final week: scores recorded, report comments written from your notes.

How long does an item analysis really take?

If you keep a tally while marking, building the table takes around ten minutes per class paper. Doing it after marking, by going back through every script, takes much longer.

Should learners see the class item analysis?

A simplified version, without names, helps. Learners are often relieved to find a whole class found a question hard, and it shifts the focus to fixing the topic.

How do I write meaningful comments for 50 learners in a short time?

Draft a bank of specific strengths and targets from your item analysis, then pick and adjust for each learner. It is faster than starting from a blank line each time.

What about learners who missed the exam?

Record the absence clearly rather than estimating a score, and tell the parent which topics the paper covered so the learner can catch up during the holiday.
