Community Service Learning is compulsory across all four Senior School pathways, and the first cohort is now deep in its projects. Most classes are working hard. Many of their reports will still score modestly, and usually for one reason: the report lists what the class did and never says what changed.

Activity against outcome

An activity is what the team did: "we planted 60 seedlings along the school boundary." An outcome is the change that resulted: "the boundary now has shade, and the gully that opened along it last season has not reopened."

A project can complete every activity on its plan and produce no outcome at all. Sixty seedlings planted and dead by November is a completed activity and a failed outcome. That is why an assessor reads past the activity list and looks for evidence of change, and why the strongest reports measure something.

The evidence a project file must carry

  • A dated activity log, including the days when nothing happened and why.
  • Photographs before, during and after, taken from the same position.
  • The budget, with quantities and unit costs, and receipts.
  • An attendance register for every work day.
  • Signatures or short testimonies from the people the project served.
  • The measurement behind every outcome claimed: a count, a survey, a letter.

Assessors read budgets with a practised eye, and a budget of round figures with no unit costs reads as invented. So does a log in which every single day was a success. The honest log, with a rained-off day recorded, is stronger evidence of a real project.

The SMART objective test

Weak: "to improve the environment around the school." Nobody could say whether it was achieved. Strong: "to plant and fence 60 seedlings along the boundary by the end of Term 2, with at least 80 per cent alive three months later." That version names the what, the where, the when and the measure of success, and the closing report can be written directly against it.
